Personal CRM with Automatic Contact Discovery

Build and maintain a personal CRM automatically — daily email/calendar scanning, contact enrichment, meeting prep briefings, and natural language queries.

Try This Prompt

Ready-to-Use Prompt

Run a daily cron job at 6 AM to:
1. Scan my Gmail and Calendar for the past 24 hours
2. Extract new contacts and update existing ones
3. Log interactions (meetings, emails) with timestamps and context

Also, every morning at 7 AM:
1. Check my calendar for today's meetings
2. For each external attendee, search my CRM and email history
3. Deliver a briefing to Telegram with: who they are, when we last spoke, what we discussed, and any follow-up items

When I ask about a contact in the personal-crm topic, search the database and give me everything you know.

Setup Guide

Pain Point

Keeping track of who you've met, when, and what you discussed is impossible to do manually. Important follow-ups slip through the cracks, and you forget context before important meetings.

  • Contacts scattered everywhere: LinkedIn, email, calendar invites, Slack — no single source of truth for your professional network.
  • Meeting prep is manual: Before a meeting, you scramble to remember who this person is and what you last discussed.
  • Follow-ups fall through cracks: You promise to "circle back next week" and then forget entirely.

What You Can Do

  • Automatic contact discovery: Daily cron job scans email and calendar for new contacts and interactions.
  • Structured CRM database: Stores contacts with relationship context, interaction history, and notes.
  • Natural language queries: "What do I know about [person]?", "Who needs follow-up?", "When did I last talk to [person]?"
  • Daily meeting prep briefing: Before each day's meetings, researches external attendees via CRM + email history and delivers a briefing.

Skills You Need

  • gog CLI (for Gmail and Google Calendar)
  • Custom CRM database (SQLite or similar) or use the crm-query skill if available
  • Telegram topic for CRM queries

How to Set It Up

1. CRM Database

Create a CRM database to store contacts and interactions:

CREATE TABLE contacts (
  id INTEGER PRIMARY KEY,
  name TEXT,
  email TEXT,
  first_seen TEXT,
  last_contact TEXT,
  interaction_count INTEGER,
  notes TEXT
);

2. Telegram Topic

Set up a Telegram topic called "personal-crm" for queries. When you ask about a contact, OpenClaw searches the database and gives you everything it knows.

3. Configure Cron Jobs

Two daily cron jobs power the system:

  • 6 AM — Contact Discovery: Scans Gmail and Calendar for the past 24 hours, extracts new contacts, updates existing ones, logs interactions with timestamps and context.
  • 7 AM — Meeting Prep Briefing: Checks today's calendar, researches each external attendee via CRM + email history, delivers a briefing to Telegram.

Key Insights

  • Automatic > manual: The CRM that updates itself is the only CRM that stays current.
  • Context is king: Knowing when you last spoke and what you discussed is more valuable than just having someone's email.
  • Meeting prep builds trust: Walking into a meeting knowing the person's background and your shared history makes a real difference.
  • Start with email + calendar: These two sources alone capture 80% of your professional interactions.
